Event Submission

Your event will appear on the Litopia.com homepage, the Events listing page, will be cross-posted to the Colony forums you select – and will also be used, where appropriate, in our newsletters and social media.

Please complete all fields carefully. Events should be clear, accurate, and as exciting & inviting as possible. Click here for detailed help.

You only need to give a start date and time if it makes sense, i.e. if the event commences on a specific day / time in the future.

If there’s a link to the event (either inside or outside of the Colony) post it here. For example, most events require some sort of sign-up – so post the sign-up link here.
A square format image, please, no larger than 1200px x 1200px.
Accepted file types: jpg, jpeg, png, gif, Max. file size: 10 MB.

Enter the end date for the event – after this, the event won’t be shown any more.

How to Submit an Event – Help Notes

1. Event Start Date & Time (London UK)

This is the official start time of your event, using the London (UK) time zone.

  • Select the date your event begins.
  • Enter the time in the 24-hour format.
  • If your event does not have a fixed start time, leave this blank.

Litopia will automatically convert this to friendly local times and provide an iCal download link.

2. Display Until Date (London UK)

This optional field controls when your event will stop appearing.

  • The event will disappear after this date.
  • Leave blank to keep it visible indefinitely.

3. Short Teaser Description

This appears on the homepage, event listings, and Colony threads.

Write one or two short sentences describing the purpose.

4. Event URL

Enter the link for full details.

  • Zoom registration
  • External website

5. Event Image (Required)

  • JPG or PNG
  • Max 10 MB
  • Square works best

Choose something clear and visually appealing.

6. Event Type

Choose the category your event belongs to.

  • Huddle

7. Post This Event To (Colony Forums)

Select which Colony forums should receive an announcement thread.

  • Café Life
  • Litopia Book Club
  • One Perfect Sentence

What happens on submission:

  • A thread is created in each selected forum.
  • The thread includes:
    • Event date/time (London + world zones)
    • Teaser
    • Full description
    • Link to event page
    • iCal download link

8. Full Event Description

Include:

  • Purpose of the event
  • Who it's for
  • Preparation required
  • How to join

9. Submit the Event

When you click Submit:

  • Your Event is created.
  • Local times are generated.
  • An iCal file is created.
  • Colony threads are posted.
  • The event appears on the homepage.

Tips for a Great Event Submission

  • Use a strong image — events with good visuals get more attention.
  • Keep your teaser short and enticing.
  • Verify your times; London time must always be the source.
  • Provide a clear link for participants.
  • Select the correct Colony forums for the intended audience.
